Communication is a two –way process of sending and receiving information across a medium of communication. Proper communication can result in generating the exact thing that was needed and bad communication can lead to creating problems and misunderstandings. The sender of information has to make sure that the message is well decoded by the receiver and is well understood to ensure the results are guaranteed.
In the context of business, communication happens upwards and downwards across the organizational hierarchy to the many levels of employees. But, in certain organizations the employees have stated that they do not understand the messages sent or they simply do not get the messages that are being sent. It shows that the communication processes in many businesses are not effective as they should be since the purpose of communication is not properly understood.
Purpose of communication comes first
Know why you are communicating a message to make things easier. If you are planning to go out for drinks at night, you could simply drop an informal text message to your friends and still be at the pub on time. However, if you dealing with something serious as buying a Melbourne investment property etc. your communication has to be paper based with very clear instructions and information communicated to the desired parties. Choose the medium
Communication can be digital (non-paper based) and paper based. Forms such as text messaging, emails, Skype calls are digital means of communication and snail-mail, memos etc. are paper based communication media. Medium of communication must be decided after knowing the purpose and the nature of the receiver.
Know the receiver
If you are operating a business, the way you communicate to the top-line employees are different from the bottom line employees. As an advocate of communication, your responsibility would be to understand the mentality and the level of understanding of each employee before communication or selecting the medium of communication. The most important thing to remember would be that communication generated in the first place for the receiver.
Assess the communication effort
The best way to know whether the communication was successful is to check whether the receiver was able to do the desired action after deriving the message from the message through communication. For example, if you wanted the marketing executive to prepare a calendar amalgamating the marketing activities individually and collectively across the group, the calendar made by him/her can show whether they message sent was properly understood. Communication, whether business or not is an important aspect of life as we spend most of our life communicating unknowingly and therefore, efforts have to be made to ensure that the information communicated are well understood by the receiver.
